This policy explains what personal information the Houlihan & Co app and portal ("the app") collects, why we collect it, who it is shared with, and the choices and rights you have. The app is provided for Houlihan & Co staff and authorised contractors; a valid company account is required to use it.

1. Who we are

Houlihan & Co ("we", "us", "our") is the data controller for the personal information collected through the app. If you have any questions about this policy or how your data is used, contact us at office@houlihans.co.uk or by post at our registered office.

2. Information we collect and why

• Account & profile details — your name, email address, phone number, trade/role, employer and the login you use. Needed to give you access and to identify the records you create.
• Profile photo & face data — if you use face sign-in, we store a profile photo and a facial template to verify it is you when you log in and clock on to site. This is biometric data and is used only for identity verification within the app; it is never used for advertising and is not sold.
• Location — recorded when you clock in/out and when you complete site inspections, to confirm that work was carried out at the correct site. The app only accesses your location while you are using it for these actions.
• Photos & videos — images and video you capture and attach to inspections, deliveries, plant checks, accident reports and other records.
• Work records you submit — clock-in times, inspections, forms, plant and equipment checks, holidays, hours and similar operational records.
• Device & notification data — a push-notification token and basic device identifiers so we can send you job, breakdown and approval alerts.
• Technical data — standard server logs (such as IP address and access times) used to keep the service secure and working.

3. Lawful basis for processing

We process this information to perform our contract of employment or engagement with you, to meet our legal health-and-safety and record-keeping obligations, and for our legitimate interests in running construction sites safely and accurately. Where we rely on your consent (for example, biometric face sign-in), you can withdraw it at any time by contacting us, after which we will use an alternative login method.

4. Who we share it with

Your information is shared only with the service providers that help us operate the app — for example our hosting provider, and our SMS, email, push-notification and face-recognition providers — and with any authority where we are legally required to do so. These providers process data on our instructions under appropriate agreements. We do not sell your personal data and we do not use it for advertising or cross-app tracking.

5. How long we keep it

We keep your information for as long as you have an account with us and for any period afterwards required by law (for example, health-and-safety, employment and payroll record-keeping). When it is no longer needed, it is securely deleted or anonymised.

6. Your rights

You have the right to access the personal data we hold about you, to have it corrected, to request its deletion, to object to or restrict its processing, and to data portability. You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk. To exercise any of these rights — including deleting your account and associated data — contact office@houlihans.co.uk and we will respond within the time limits set by law.

7. Security

Data is transmitted over encrypted HTTPS connections and stored on access-controlled systems. Access within Houlihan & Co is limited to staff who need it to do their job.

8. Children

The app is intended for use by working adults and is not directed at children. We do not knowingly collect data from anyone under 16.

9. Changes to this policy

We may update this policy from time to time. When we make a material change we will update the date above and, where appropriate, ask you to review and accept the new version the next time you sign in.
